Welcome to MARTIAL ART MATS website conditions for use.
Although there is a lot of technical jargon below, please remember we are a friendly company and will do our best to accomodate your requirements, so please email or call us if you would like to discuss your individual circumstances or require any of the following to be explained more clearly.
These conditions apply to the use of this Website and by accessing this Website and/or placing an order online, by email, phone, fax, post or any other means, you agree to be bound by the conditions set out below. If you do not agree to be bound by these conditions you may not use or access this Website or place an order with us.
Before you place an order, if you have any questions relating to these conditions please contact us by e-mail. You are provided with access to this Website in accordance with these Conditions and any orders placed by you must be placed strictly in accordance with these Conditions.
You warrant that:
The Personal Information which you are required to provide when you register as a customer is true, accurate, current and complete in all respects; and You will notify us immediately of any changes to the Personal Information by contacting us by e-mail, or telephone. You agree not to impersonate any other person or entity or to use a false name or a name that you are not authorised to use.
You agree fully to indemnify, defend and hold us, and our officers, directors, employees, agents and suppliers, harmless immediately on demand, from and against all claims, liability, damages, losses, costs and expenses, including reasonable legal fees, arising out of any breach of the Conditions by you or any other liabilities arising out of your use of this Website, or the use by any other person accessing the Website using your shopping account and/or your Personal Information.
Purchase of products
Description of products
Each Product purchased is sold subject to its Product Description. We will take all reasonable care to ensure that all details, descriptions and prices of Products appearing on the Website are correct at the time when the relevant information was entered onto the system. Value added tax will be added at the checkout or to orders placed offline at the rate ruling on the day the order is placed. Although we aim to keep the Website as up to date as possible, the information including Product Descriptions appearing on this Website at a particular time may not always reflect the position exactly at the moment you place an order. We cannot confirm the price of a Product until your order is accepted in accordance with our Order acceptance policy.
All measurements are given in millimetres, centimetres or inches and are taken from the maximum points of measurement unless otherwise stated.
Martial Art Mats reserves the right to change product specification at any time. Whilst every effort has been made to ensure that all graphical representations and descriptions of Goods available from Martial Art Mats correspond to the actual Goods, Martial Art Mats is not responsible for any variations from these descriptions. We will take all reasonable care, in so far as it is in our power to do so, to keep the details of your order and payment secure, but in the absence of negligence on our part we cannot be held liable for any loss you may suffer if a third party procures unauthorised access to any data you provide when accessing or ordering from the Website.
The technical steps required to create the contract between you and us are as follows:
If you order online, then you place the order for your products on the web-site by pressing the confirm order button at the end of the check-out process. You will be guided through the process of placing an order by a series of simple instructions on the web-site. We will send to you an order acknowledgement email detailing the products you have ordered. If you require a VAT invoice, please request it in the special instructions or send us an email.
If you order by email, phone, fax, letter or any other means and require a VAT invoice, then please request it.
Your order will be processed once payment in full is made or when an official order from a government body is received e.g. educational establishment, armed forces, police, nhs etc.
If you would like a formal quote before placing an order you can either:
1) place an order online, and not pay for it (please enter in the notes section, “details entered for a quote” or similar), and you will receive an automated purchase order by email which gives a breakdown of costs including VAT – this does not commit you to placing an order with us,
or you can
2) email, phone, fax or write to us requesting a quote / pro-forma invoice which will give a breakdown of costs including VAT and the options of how to make payment by bank transfer, cheque, credit or debit card or PayPal.
If you need a VAT invoice so payment can be made to place an order, please request one by email, phone, fax or write to us.
Please check over everything on the email sent after your order is placed, and make sure the information detailed is correct.
If ordered online the subject heading will start with “Your Martial Art Mats order receipt from (and then the date)”.
Offline orders will have subject headings “Order Acknowledgement” / “Invoice” / the same subject heading you sent us an email with.
If there are any discrepancies, please let us know within 48hrs of receiving the confirmation, so our systems can be amended accordingly prior to your order being confirmed.
Failure to do so could result in orders being incorrect, so it is paramount that we have all the correct information, as we cannot be held responsible for mistakes if the order has not been checked and confirmed by yourselves.
If after 48hrs we have received no word from you, we will assume that the order is correct and proceed with the order as it stands on the confirmation.
The completion of the contract between you and us will take place on the date of despatch to you of the Products ordered unless we have notified you that we do not accept your order or you have cancelled it in accordance with our conditions set out below.
Non acceptance of an order may take place in the following circumstances :
- Our inability to obtain authorisation for your payment
- The identification of a pricing or product description error
- You not meeting the eligibility to order criteria set out in the main section.
Conditions of Use.
This contract is concluded in English.
Refusal of transaction
We reserve the right to withdraw any Products from this Website at any time and/or remove or edit any materials or content on this Website. We may refuse to process a transaction for any reason or refuse service to anyone at any time at our sole discretion. We will not be liable to you or any third party by reason of our withdrawing any Product from this Website whether or not that Product has been sold; removing or editing any materials or content on the Website; refusing to process a transaction or unwinding or suspending any transaction after processing has begun. To be eligible to purchase Products on this Website and lawfully enter into and form contracts on this Website under English law you must:
- Register by providing your real name, phone number, postal/delivery address, e-mail address, payment details and other requested information
- Possess a valid credit or debit card issued by a bank acceptable to us or a PayPal account
By making an offer to buy a Product, you specifically authorise us to transmit information (including any updated information) or to obtain information about you from third parties from time to time, including but not limited to your debit or credit card number or credit reports, to authenticate your identity, to validate your credit card, to obtain an initial credit card authorisation and to authorise individual purchase transactions.
We will treat all your Personal Information as confidential (although we reserve the right to disclose this information in the circumstances set out below). We will keep it on a secure server and we will fully comply with all applicable UK Data Protection and consumer legislation from time to time in place.
When you shop on this Website, we will ask you to input and will collect Personal Information from you such as your name, e-mail address, billing address, delivery address, telephone number, product selections, and a password. We may also collect, and our third party providers of advertisements and content may collect, information about where you are on the internet (eg the URL you came from, IP address, domain types like .co.uk and .com), your browser type, the country and telephone area code where your computer is located, the pages of our website that were viewed during your visit, the advertisements you clicked on, and any search terms that you entered on our website (“User Information”). We may collect this information even if you do not register with us.
We do not store financial details at Martial Art Mats. When paying by credit or debit card / PayPal online, Paypal process the card or PayPal detail. If making payment over the phone, the details are entered onto PayPal’s virtual terminal online. We do not recommend emailing, texting, faxing, using a social network or any other electronic means, or posting details of credit or debit cards due to a higher possibility of interception and fraud, but if you choose to do so, we recommend that you don’t send all the information by one method, and that you use two or more methods to send the information. The electronic information will be deleted after the transaction is processed. Any hard copies made from email, fax, post, other electronic means or written down from a phone call are destroyed when the transaction has been processed.
You should be aware that this site is being monitored and may capture information about your visit that will help us improve the quality of our service.
We confirm that any Personal Information which you provide to us (or which is available on public registers) and any User Information from which we can identify you, is held in accordance with the registration we have with the Data Commissioner’s Office. We use your information only for the following purposes:
- Processing your orders;
- For statistical purposes to improve this Website and its services to you;
- To serve website content and advertisements to you;
- To administer this website;
- To notify you of products or special offers that may be of interest to you. You can be removed from the mailing list by emailing us.
You agree that you do not object to us contacting you for any of the above purposes whether by telephone, e-mail or in writing and you confirm that you do not and will not consider any of the above as being a breach of any of your rights under the Privacy and Electronic Communications (EC Directive) Regulations 2003.
When you create a shopping account while ordering online you will be given the option to receive information from MARTIAL ART MATS by post, e-mail or telephone, about products, promotions or special offers which we feel may be of interest to you. In the event that you do not wish to be contacted for such purposes please e-mail or telephone.
Your Personal Information may be disclosed to other reputable third parties who will help process your order. MARTIAL ART MATS requires all such third parties to treat your personal information as fully confidential and to fully comply with all applicable UK Data Protection and consumer legislation from time to time in place. We will not release your Personal Information to any company outside of MARTIAL ART MATS for mailing or marketing purposes.
You should be aware that if we are requested by the police or any other regulatory or government authority investigating suspected illegal activities to provide your Personal Information and /or User Information we are entitled do so.
Standard delivery charges (shipping – flat rate) that the website calculates are only applicable to England, Wales and Southern Scotland.

From receipt of payment / authorised official order:
Stock items are despatched within 0-3 working days.
For out of stock, or manufactured to order items, we usually despatch within 2 to 3 weeks.
Please allow up to three working days delivery time after despatch for the receipt of your goods delivered to mainland Britain.
If you need urgently, please email or call for a definite delivery date / cost of upgrade to next day delivery.
Delivery will take place during normal business hours Monday to Friday.
Saturday and timed deliveries can be arranged but these will be charged at the couriers cost over and above the standard delivery charge.
Delivery to a work address or other alternative address is possible. If you want a neighbour to accept the delivery if you are not in, then please let us know in the notes section of the order when ordering online or by email. If you would like the carriers to call you the day before delivery and then an hour before or other time scales, so you can arrange to meet the delivery, then please let us know, as this is sometimes possible.
If you want the carrier to leave the delivery when you are out, then we can do this for most items, but you must request this in the notes section of your online order or by email, and do so on the understanding that if it is not there when you go to pick it up and we / our carriers have delivered it, then it is not our responsibility that it has been stolen, and we can not claim from our carriers and in turn can not resupply you or offer a refund. Please give us clear instructions on where to leave, preferably out of sight of the passing public and in a sheltered area in case of bad weather.
When accepting delivery please adhere to the following.
Check you are signing for the number of packages you are receiving, if less, then write the number of packages before signing.
Goods rarely get damaged during transportation, but in the unlikely event of the goods being damaged when delivered, it is important that the goods are checked before signing the drivers paperwork/electronic device, as no claim for damage can be made once the delivery is signed for.
If for practical reasons you cannot unpack and check, write “damaged goods” then sign, not “unchecked” or “packaging damaged”, as this will not allow us to make a claim against the carrier and replace the goods for you.
If any goods are not in acceptable condition, then it is important that before you sign, (and the carrier takes away the paperwork or handheld electronic device), you refuse the damaged goods and only accept the good ones, clearly marking on the drivers delivery paperwork / electronic device how many packages you have accepted, then sign.
We will only be responsible for the unloading of the Goods at the kerbside of the customer’s premises.
For avoidance of doubt, the Company shall not be liable for any damage caused to either the Goods or the fabric of any building, vehicles or any other property in the event of damage occurring whilst transporting the Goods to the Destination Point from the kerbside if the driver accepts a request to do so.
If, in the opinion of Martial Art Mat’s representative(s), the Goods are to be taken an unreasonable distance or route from the point of unloading to where the Goods are to be placed or stored at their Destination Point (for example, but without limitation, up or down steps or along corridors or where another easier route is available), it shall be the customer’s responsibility to provide adequate manual labour at the unloading / Delivery Point for transporting the Goods to the Destination Point.
Due to the size of some delivery vehicles, Martial Art Mats Ltd or any carriers delivering on behalf of us MUST be informed of ANY restrictions regarding access for the delivering vehicles. This includes but not limited to, steps (including those required to climb to gain access to the property entrance), any overhanging/low trees/shrubs, steep driveways, narrow lanes, tight bends or any other restrictions that may make it difficult for the delivering vehicle to gain access to the point of delivery. Martial Art Mats Ltd will not accept any claims for compensation arising from non/failed/refused delivery of any item where the carriers or we were not made aware of any points regarding access restrictions. In the event that the item is refused/cancelled due to these restrictions, the customer is liable for all carriage charges & re-stocking same as any other return, see Returns section for details.
Replacement of damaged or missing goods
Providing the above procedure(s) have been carried out then any damaged/missing items will be considered for replacement free of charge. This does not include any consequential costs which may arise out of a delivery problem.
We guarantee your satisfaction and all products come with a 7 day no quibble guarantee except items made to order. If you wish to exercise this option you should contact us by e-mail in the first instance.
Any item cancelled before despatch but has been made to order, can only be refunded the cost of the delivery.
Do not return to our registered address in Macclesfield, as we have numerous manufacturing and warehousing facilities in the UK and we will email you the return address.
Returns should be made in the original packaging, showing no signs of use.
Credit will be made once the items are received by us and are confirmed to be in as new condition, less a re-stocking charge, which covers administration and our cost of delivery charges which is 25% of the invoice value subject to a £30.00 minimum charge. We reserve the right to charge more in cases where items are of a low value relative to the cost of delivery.
We reserve the right to withhold a further percentage of the refund value of returned goods if the product or packaging is in such a condition that the item needs to be reduced in price for resale.
All items are guaranteed against manufacturing defects for 12 months from date of invoice. If a problem occurs you need to first make a claim by e-mail. After discussion we will either arrange to collect or view the items on site at the customer’s premises. Following inspection we will make the customer aware of our findings and if the items prove to have a manufacturing defect we will replace free of charge. This guarantee does not include any consequential costs which may arise out of a manufacturing fault.
Any equipment that shows a 2 year warranty or more, requires yearly servicing by a recognised service company that offer certificates to show that they have carried out the work.
Parts are covered only for defect and not wear and tear.
Mats are manufactured to a tolerance of plus or minus 5mm per m (1000mm).
Any incorrect items delivered must be notified to us by e-mail within three working days. Returns should be made in the original, packaging, showing no signs of use and in the same condition you received them. We will arrange for collection of the items normally within three working days. Replacement items (if applicable) will be sent out as soon as possible.
